Group one: notices and instructions
Place the latest complete notice first and retain earlier letters in date order. Highlight the tax period, issue and response instructions on a working copy. Keep envelopes if their dates may matter to a review. Do not discard earlier correspondence because a newer letter arrives; it can show what was requested before. Create a front-page index so you can quickly identify the document discussed during a call.
Group two: evidence and unanswered questions
Keep returns, payment confirmations and relevant statements in a separate group. For each unresolved issue, write a question and identify which record could answer it. For example, an expected payment may need both the transaction receipt and current account information. Tax transcripts can assist with certain account and filing questions, but they are not automatically a substitute for every original record. Label missing documents openly rather than filling gaps with assumptions.
Group three: proposals and completed actions
Store provider quotes, authorizations, correspondence and copies of submissions together. Add a brief log with the date, person contacted, instruction received and next review date. Attach evidence of a filed response or completed payment before marking an action done. Protect the folder because tax records can contain sensitive identity and financial information. This system helps you stay informed; it does not determine eligibility, create representation or change an agency deadline.

Questions people ask
Do I need special software?
No. A consistent private folder and a short index can work. Choose a system you can maintain and use to locate documents accurately.
Can I keep only the most recent notice?
Retain earlier letters and response evidence as well. They can help a reviewer understand the sequence and whether an issue or instruction has changed.
